Immigrant Services Calgary is a non for profit immigrant serving agency established in 1977. ISC's mission is to be a comprehensive settlement agency working together with immigrants and their families to make Canada home. Reporting to the Chief Operating Officer or designate, the Senior Volunteer Coordinator will support the design, development, and implementation of the volunteer strategy for ISC and ensure the effective and efficient coordination of all functions relating volunteer programs and initiatives. The Senior Volunteer Coordinator create a best in class volunteer program, expanding ISC’s capacity and community engagement. The volunteer program will span the entire organization and work with every department. 

 

SPECIFIC RESPONSIBILITIES

 

This is a critical role in Immigrant Services Calgary’s continued success and growth, and is responsible for supporting Immigrant Services Calgary’s mission, vision and values, and is accountable for the following:

 

Volunteer Strategy

■ Designs, leads and implements the volunteer strategy for ISC;

■ Develops CRM and management systems and processes for the attraction, recruitment, management of volunteers;

■ Designs and leads development of new engagement programs like alumni, peer mentoring; and,

■ Responsible for overall volunteer experience quality.

 

Volunteer Recruitment

■ Recruit volunteers, as required, for the agency according to service demands and immigration trends;

■ Outreach to ethno cultural communities to recruit appropriate volunteers;

■ Liaise with Volunteer Calgary and other relevant voluntary organizations; and,

■ Ensure an active pool of volunteers by continuous monitoring and updating of the volunteer database through volunteer follow-up and communication with ISC staff that engage volunteers.

 

Volunteer Orientation and Training

■ Ensure the delivery of thorough orientation, training, and specialized training to all agency volunteers;

■ Initiate collaboration with community agencies in setting up specialized training for volunteer interpreters and translators;

■ Ensure effective volunteer recognition & retention strategies through ongoing specialized training opportunities;

■ Evaluate the effectiveness of the training programs and the screening / testing procedures; and,

■ Ensure volunteer orientation and training is organized and implemented according to the needs of ISC programs.

 

Volunteer Screening

■ Implement screening and testing procedures for selecting appropriate volunteers; and,

■ Conduct police information checks, reference checks, child welfare checks on all selected volunteers.

 

Volunteer Placement

■ Place volunteers in ISC programs according to the volunteers’ skills and program needs;

■ Communicate with Language Bank staff about the availability and suitability of volunteers for interpretation or translation services; and,

■ Follow-up with staff and volunteers to ensure appropriate and timely placement and participation of volunteers.

 

Volunteer Follow-up, Support & Recognition

■ Ensure volunteer retention by providing follow-up with new and on-going volunteers;

■ Ensure volunteer policies and procedures are implemented and followed; 

■ Ensure volunteer exit procedures are followed and all appropriate documentation is completed;

■ Conduct annual renewal and volunteer satisfaction survey; and,

■ Organize volunteer recognition events i.e. volunteer appreciation parties.

 

Evaluation and Reporting

■ Report on status of volunteer program on a schedule dictated by Director;

■ Conduct performance evaluations of volunteers, volunteer programs and staff; and,

■ Assist in preparation of funding reports and proposals pertaining to the volunteer program.

 

Relationships with Service Providers

■ Identify community needs and provide input for developing new partnerships and contracts for the Language Bank, according to volunteers needs;

■ Participate in presentations to promote ISC services within the community;

■ Build relationships in the community for the promotion and mutual benefit of the agency and volunteer program;

■ Ensure ongoing program development;

■ Maintain agency relations with ISC; and,

■ Assign work duties to volunteer program staff as required.

 

Agency Initiatives

■ Be involved in agency initiatives throughout the year such as the IDA and the United Way campaign; and,

■ Coordinate the volunteer needs of other agency units.

 

EDUCATION 

■ Bachelor’s Degree in Social Science, Education, Business, Communications, or Volunteer Management.

 

EXPERIENCE

■ Strong experience with volunteer coordination / management with large teams at medium to large sized NFP;

■ Strong organizational skills, proficient in setting priorities, effective coordination, time management, and multi-tasking in a competent and effective manner;

■ High proficiency in spoken and written English;

■ Second language an asset;

■ Exceptional interpersonal and communication skills, coupled with the ability to interact with volunteers, board members, and all levels of staff.

■ Experience with CRM, volunteer management systems, Salesforce; and,

■ Cross cultural sensitivity – experience working across a variety of cultural groups; and, 

■ Ability to work well in a team environment and establish strong collaborative working relationships.
