Reports to:         Director of Operations

Position Type:   Permanent  (32 hours per week)

About the Role:

The Operations Support Assistant is a solution-oriented individual who will work closely with the Director of Operations to ensure the Operations and National Leadership Teams function at their best. They will function in multiple administrative capacities, including data collection and high-level analysis, event coordination, and management of internal systems and processes.  They will work to address functional needs within our ministry, with the ultimate goal of seeing our field staff fully equipped with the services they need to be effective.

In this role, you will be responsible to achieve the following objectives:


Administrative Support - AIA National Team can function at maximum capacity

  • Tracking and reporting of expenses, impact metrics, and donor engagement in accordance with P2C policies and best practices
  • National Team meetings receive full administrative support
  • Additional administrative support for National Team as required


Operational Support  - Internal AIA systems are functioning effectively and efficiently   

  • Management of Google groups, staff lists, and shared drives
  • Management and coordination of shared registration software
  • Support for Zoom-hosted internal and external events


Event Planning - Attendees and sponsors of AIA National Events are eager to return

  • Event details are anticipated and seamlessly stitched together
  • Donors and sponsors receive appropriate recognition and documentation
  • Hands-on support for the planning process and event-day logistics

Other Responsibilities

  • Executing special operations projects
  • Participate in team activities and meetings
  • Attend Chapel and prayer meetings
  • Other duties as assigned


Education and Experience:

  • You have a bachelor’s degree or equivalent
  • You have experience working in a fast-paced setting with competing priorities
  • You have some experience in an Operations setting 
  • You have some administrative experience

  • You are skilled at bringing solutions to problems that arise
  • You come alive when it comes to creating efficiencies with systems
  • You have a keen eye for the “end user” experience and a heart to serve
  • You have a willingness and desire to learn new productivity systems such as G-Suite platform and registration and database software
  • You are able to re-prioritize tasks in a dynamic work environment
  • You have a pleasant and professional demeanor
